Using Dependencies & Validations for Project Online/Server Fields

Written by Margaret Wallace MPM, MCP, MCTS on October 24th, 2017 at 11:41 am

I was recently teaching a class for UMT360 Administrators, and as I was covering the feature Dependencies and Validations for Project Server Fields, one of my students in the class exclaimed in a eureka moment, “I didn’t know we could do that!” So I thought, maybe others who are not aware of what their UMT360 product can do for them would like to learn about this too!

Yes, you can use Dependencies and Validations for Project Fields!

In this post, we’ll take a look at the benefits of this powerful UMT360 feature, and how you can use it to do a variety of things, including:

  • Validate a Project Server Enterprise Custom Field
  • Set Conditional Logic and Dependencies
  • Automatically populate the value in a field based on the selection of another field
  • Set default values based on values selected in other fields
  • Filter available values in a lookup table based on the selection in another custom field
  • Display specific custom fields based on the values users select in other fields
  • Re-label native fields

Start by using the UMT360 Fields web part in place of the Project Server Basic Info web part, to allow custom validations using Enterprise Custom Fields within the same Project Detail Page.  The web part allows values and values ranges available for a custom field based on other fields.

In fact, you can use multiple UMT360 Fields web parts in the context of a project and they can all be displayed on the same Project Detail Page or on separate pages, with each web part having its own dependencies and validations that affect the Enterprise Custom Fields used in that web part.

The web part can even be used without identifying validations or dependencies, using the custom labels feature for example. In fact, if you use Programs in your instance you can label the Project Name as Program Name. Sometimes I use the web part for a client so I can relabel the default fields for Owner and Project Name, which is something you currently cannot do using the Out-of-the-box Project Server web parts.

And now there’s an app for that!

Perhaps what’s most surprising to many is that you can use the Dependencies and Validations UMT360 Fields web part feature even if you do not have UMT360 installed as part of your Microsoft PPM solution. That’s because it’s now available as part of the UMT360 Demand Manager App in the Microsoft Apps store. It’s just one of the features available in this powerful app, that can also help you with:

  • Workflow visualization
  • Intelligent Fields
  • Simplify Resource Estimates using UMT360 Resource Plans
  • Cost Estimates using the UMT360 budget cost web-parts
